Version Control
Users with appropriate permissions can check out a document, updating its status to "Checked-out" in the DocMastR metadata database. This prevents simultaneous check-outs of the same document by other users, though viewing of the released version remains available. The user who checks out the document (designated as its “owner”) can modify it using their preferred application. Once edits are completed, the document is submitted for approval. Upon approval, the updated document is checked back into DocMastR, with the original version archived and the new version stored in the repository. Previous versions can be retrieved for continued work as needed.

Transmittal Management
- Document Controller creates a Transmittal.
- Sending a Transmittal triggers a workflow for Project Manager review. The Project Manager has the following options:
- Approve Transmittal: Automatically sends to the client and distribution list.
- Reject Transmittal: Returns it to the Document Controller with comments.
- Delete Transmittal: Removes it entirely from the system.
Document Check-Out and Check-In
- Checking Out Documents: Access the Document Details screen by selecting a document from the main screen, document register, or search results. Use the Check-Out Icon for single document check-out, or the “Process Basket” for bulk check-outs.
- Checking In Documents: Checked-in documents replace the existing version, with the older version retained separately.
Bulk Document Upload
- Drag and drop functionality simplifies the addition of existing documents.
- Network folders linked to Document Scanner facilitate automatic document addition.
Workflow & Email Notification
- Document review processes are applied during document additions and check-ins.
- Reviewers can approve or reject new or changed documents.

Permission-Based File Control
- Confidential: Super User access only; cannot be transmitted.

Document Tamper Protection
Once submitted for approval, documents are secured with an encrypted signature (hash code) stored in the metadata database, alerting any unauthorized modifications.
Archiving of Deleted Files
Deleted files enter an "archive" state until they are un-archived or permanently removed.
Reporting Capabilities
DocMastR utilizes a robust reporting engine, Telerik Reports, to generate and export reports in various formats, including PDF, Excel, Word, PowerPoint, Rich Text Format, TIF, Web Archive, and CSV.
Late and Look-Ahead Reports
- Look-Ahead Reports: Proactively notify document owners of impending deadlines, aiding workload planning.
- Late Reports: Highlight overdue documents due to unrealistic forecasts or delays in document creation/review by clients, companies, or vendors.
Web-Based Report Designer
Authorized users can create, style, view, and export custom reports for use by other authorized personnel. Applications include automatic generation of Calibration Certificates, Safety Certificates, etc.
